FAQ: Adjusting Rates

Important Notes

  • Rate changes are effective to a user's role immediately.
  • Any shifts that are Posted before the rate change - remain at the old rate.
  • Any shifts that are Posted after the new rate change - will have the new rate.
  • If you wish to apply a new rate to a shift prior to the date of the change, you must re-posted each specific shift.

Factor 1: Payroll Cut-off Date

Keep in mind that if you make adjustments to rates (even those that are re-posted) after your designated payroll cut-off, you would be responsible to alert your accounting team and advise them of this change. Failure to do so - will result in the changes not being process by your accounting team as they may have likely already processed payroll.

It is always advised to let your accounting team know of any changes made after your designated payroll cut-off time.

Factor 2: Posted Shift Date

As mentioned above, any changes made to rates are effective immediately.

Example 1 - Joe has a rate change from $15 to $17 / hour effective Jan 2.

Employee Scheduled Shift Rate in HR Posted Date Posted Rate
Joe
Jan 1
$15.00
Jan 2
$15
Joe
Jan 2
$17.00
Jan 3
$17
Joe
Jan 3
$17.00
Jan 4
$17

In this example it is clear that everything went as expect as the change was made on Jan 2 and Posted shifts following that date are now set to $17 / hour.

Example 2 - Joe has a rate change from $15 to $17 / hour effective Jan 2 - however changes were made on Jan 4 - after shifts were already posted.

Employee Scheduled Shift Rate in HR Posted Date Posted Rate
Joe  Jan 1   $15.00        Jan 2      $15
Joe  Jan 2   $15.00        Jan 3      $15
Joe  Jan 3  $15.00        Jan 4      $15
Joe
$17.00

In this example it may appear as something was missed - however as the rate change was made on the Jan 4... only shifts posted after this date will have the new $17 / hour rate.
